Agreement to terms to engage with the AAME SP service 2021

Agreement to access the Association of Aviation Medical Examiners ‘Suitable Person’ service for revalidation.

The Association’s approved ‘Suitable Person’ (SP) will provide a recommendation to the General Medical Council (GMC) for the purposes of revalidation.

The Suitable Person will be approved by the GMC and will comply at all times with guidance relevant to Responsible Officers and Suitable Persons.

The SP will maintain a connection with the doctor through the GMC on-line ‘GMC- connect’ service.

Access to the Service

In order to access the service, the doctor shall:

  • Have a licence to practice.

  • Have no other prescribed connection to a designated body.

  • Work primarily as an Aviation medical Examiner.(AME)

  • Maintain professional indemnity insurance.

  • Be a full member of the AAME, paying by standing order.

  • Pay the additional subscription to access the SP service, by standing order.

  • Declare that their prescribed connection is ‘Suitable Person- Dr Mushkoor


  • Ensure adequate and reliable access to e-mail services as the primary means

    of communication with the SP.

  • Respond to e-mails promptly (14 working days) and in a professional manner.

  • Notify in advance any planned changes to e-mail services.

  • Formal notifications, as defined in GMC guidance, will be sent requesting

    delivery and read receipts. Non response will trigger a duplicate notice to be

    sent to the address registered with the GMC, by recorded delivery

  • Undergo an annual appraisal with an AAME approved appraiser.

  • Provide the SP with an electronic copy of the preparation, outcome of

    appraisal documents and CAA annual audit letter in .doc, .docx or .pdf or

    other acceptable format.

  • Provide an electronic copy of the CAA annual audit letter to the SP.

  • Undertake a satisfaction survey at least once in each five year cycle using a

    format acceptable to their appraiser and AAME.

  • Undertake appropriate multisource feedback using a format acceptable to the

    AAME once in each five year cycle.

  • Inform the SP as soon as practicable, and in any event within 28 days, of any

    complaint or concerns relating to their clinical practice.

  • Comply with the GMC publication ‘Good Medical Practice’.

  • Fulfil all the requirements of the GMC revalidation and re-licencing guidance, as published and amended.

  • Comply promptly (within 10 working days) with any request for information made by the SP.

  • Undertake not to withhold any information relevant to the revalidation process, either to their appraiser or SP.

  • Notify the SP of any change in employment status, in particular any potential clinical work which is not aviation related or of an occupational medicine nature.

  • Notify the SP in advance of any change to a new designated body or Responsible Officer.


  • The doctor consents to his/her personal data being disclosed as part of the appraisal and revalidation process.

  • This data may be shared with his /her appraiser, the GMC or any other relevant authorities or to any other person as mandated by the duties of the Suitable Person to the GMC, or as required by law.

  • This data may be shared with a new SP or RO in the event of a change of designated body.

  • The data will be retained by the AAME or SP until the end of the doctor’s current revalidation period, or five years whichever is sooner.

  • The Association or Suitable Person may vary the terms of this agreement as necessary to comply with any changes in the responsibility of a RO or SP, resulting from a change in law or policy of the GMC.

  • The Association or SP shall not incur any liability, damages, costs or expenses as a result of any information shared with, or recommendation made to, the GMC in connection with the prescribed duties of an RO or SP, or the duties of a doctor, as set out in GMC guidance or revalidation regulation.

  • The doctor shall be responsible for all costs involved in revalidation, including, but not limited to, appraisal costs, subscriptions to AAME and the SP service, additional appraisals, investigation or remediation costs as appropriate, and all legal costs.

  • The basic SP service is funded by the additional subscription, and from AAME funds. Where additional work, including a visit, is required to be undertaken by the SP in connection with revalidation, it will be charged at a half day rate equivalent to the current CAA fee for a full, initial, EASA Class One medical. Travel costs are not included in this rate.


  • Any failure to comply with the terms of this agreement may be reported to the GMC.

The agreement will be terminated if:

    • The prescribed connection of the doctor is changed.
    • Failure to comply with the terms of the agreement.
    • Failure to pay subscriptions to the AAME.
    • The registration of the doctor is suspended or terminated by the GMC.
    • With the mutual consent, in writing, of both parties.
    • Death of either party.
